The Canadian Executive Service Organization (CESO) is a unique, volunteer-based, not-for-profit organization founded in 1967. Its mission is to build capacity in governance and economic development through the transfer of knowledge and skills by Volunteer Advisers. CESO has the following maternity leave replacement opportunity in its National Services Department.
Receptionist / Secretary - Alberta
Location: Edmonton, Alberta
Reporting to the Office Manager, we require a dynamic individual for our Edmonton, Alberta office to support the delivery of the National Services Program (Aboriginal), as well as other CESO activities in the Alberta and Western Arctic region.
Under the general direction of the Regional Manager, the Receptionist/Secretary will provide assignment management, accounting, and general administrative and secretarial services for the Alberta and Western Arctic Regional Office.
PRIMARY RESPONSIBILITIES
- Perform a full range of secretarial duties including the drafting of general correspondence from notes or verbal communication, maintain appropriate records and filing systems, prepare faxes, e-mails and reports, and process incoming and outgoing mail & courier packages
- Assist with assignment administration including (but not limited to) the preparation of assignment packages, database maintenance, assignment monitoring, evaluations and updates
- Assist with bookkeeping duties including the verification of incoming expense claims
- Assist in the preparation of the monthly and quarterly reports and meetings, training sessions, special events
- Ensure the correct protocol in keeping the Supervisor informed of any urgent matters including those relating to assignments and administrative matters
KNOWLEDGE AND SKILL REQUIREMENTS
- Aboriginal heritage (strongly desired)
- Client-centric attitude of needs for the appropriate assignment of volunteers
- Post secondary education and/or two years of work related experience
- Demonstrated experience and knowledge of Volunteer Management
- Aptitude for customer service and client and sponsor relations
- Excellent oral, written communication and presentation skills
- Excellent administrative skills coupled with strong computer skills
- Cultural sensitivity and strong interpersonal skills
