The Canadian Executive Service Organization (CESO) is a unique, volunteer-based, not-for-profit organization founded in 1967. Its mission is to build capacity in governance and economic development through the transfer of knowledge and skills by Volunteer Advisers. CESO has the following opportunity in its National Services Department in the Atlantic Region:
Program Coordinator
Location: Dartmouth, Nova Scotia
Under the direction of the Acting Regional Manager (ARM) in the National Services Department, the Program Coordinator will provide assignment management, including overall financial management. This position will assist in the organization of programs within the Atlantic region, as well as with monthly and quarterly reporting requirements.
Your tasks and responsibilities will include, but are not limited to the following:
Program Coordination
- Work with Head Office staff and Acting Regional Manager (ARM) in the development, input, design and implementation of National Programs
- Work with ARM in the development of new programs
- Assist ARM in implementing the results-based management framework and report on progress
- Actively participate in conference calls, meetings, or represent RM as required
- Interact with clients and Volunteer Advisers (VAs) as required
Assignment Management
- Process requests from clients and assign appropriate VA
- Provide estimate of cost for assignment and update information on database as required
- Prepare project and assignment mandates
- Monitor and review assignment budgets
- Make travel arrangements for VAs on assignment
- Audit expense claims and ensure payments and invoicing
- Monitor and follow up on accounts receivable
- Ensure full reporting and evaluation process is completed
- Provide ongoing contact with clients and VAs
Office Management
- Manage overall upkeep of office to ensure smooth daily operations
- Identify and makes recommendations to ARM for enhanced efficiency
- Ensure records of equipment leases are kept current
- Arrange for effective leasing of telecommunications equipment and other office equipment
- Liaise with staff, VAs, building maintenance personnel and office equipment companies to ensure upkeep
- Work with MIS Toronto in identifying technical problems and in arranging for appropriate technical services to solve problems
- Assist with in-house meetings and special events
- Ensure all health and safety documentation and equipment is up-to-date and displayed as required
- Ensure staff and VAs are aware of, trained and observe the health and safety guidelines
- Assists with moving, internal and external, if required
KNOWLEDGE AND SKILL REQUIREMENTS
- Post secondary education or five years of recent and relevant experience
- Innovative, mature, diplomatic, problem solver
- Good writing skills to create presentations and for report writing
- Post secondary education or five years of recent and relevant experience
- Ability to multitask, prioritize, manage time, deliver deadlines and work on own initiative
- Computer literacy – MS Office
- General understanding and sensitivity to cultural differences
- Good analytical skills and attention to detail
- Ability to meet deadlines and work under pressure
Asset
- Bilingualism
- Knowledge of Atlantic First Nations and issues
- Some knowledge of volunteer management
- Good understanding of financial processes
- Strong interpersonal and organizational skills
