www.priv.gc.ca/index.e.cfm), this page provides information about the stated privacy policy and procedures of the Canadian Executive Service Organization (CESO).
The information volunteers provide to CESO enable us to do the work we do. Therefore, in implementing the Privacy Act, CESO has in effect codified the practices that we have always exercised.
Being a CESO volunteer* involves providing personal information. We collect, use and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances.
*CESO volunteers include volunteers in the field, in-house volunteers, Board of Directors, and all other volunteers.
According to the Act, personal information is defined as information about an individual that may include marital status, date of birth, home address and telephone number, employment, education, medical history, dependent information and banking information.
We obtain information about volunteers for the following purposes only to:
- Identify a volunteer
- Understand volunteer's skills and experience to establish eligibility for programs and services
- Allow for efficiency and effectiveness in selecting volunteers for CESO assignments
- Develop, enhance, market or provide products and services
- Effectively communicate with CESO stakeholders including volunteers, clients and funders
- Garner support for CESO activities and programs through volunteer appreciation events, public relations, communications and fundraising
- Meet legal and regulatory requirements
- Permit CESO Clubs to make initial contact with volunteers
- We don't sell, trade or rent information about CESO volunteers to any third parties including clients or those who provide funding.
- We keep information only as long as it is needed
- We monitor our compliance with applicable privacy legislation
Upon written request, volunteers will be given the opportunity to review the personal information as it pertains to them only.
In the event that any concerns arise regarding the implementation of this policy, CESO's CEO is the organization's designated Privacy Officer, accessible at
privacy@ceso-saco.com.
CESO will be open about its policies and practices regarding the management of personal information. CESO's Privacy Policy is posted on CESO's website.
- A) All in-field volunteers are required to complete an online application form when registering with CESO. The form contains a provision that provides for the above uses of the individual’s personal information as a condition of registration with CESO. B) All other volunteers complete the “In-house Volunteer Information Form” which includes consent.
- Volunteer Services is responsible for the maintenance, use, storage and destruction of all volunteer records. It is the responsibility of the volunteer to ensure that information provided to CESO is accurate and current.
- Volunteers may have questions or concerns regarding the use of their information or the content of their file. If the volunteer’s concerns are not adequately addressed, the file shall be forwarded to the Compliance Officer for review and action.
- Training will be provided to all staff and volunteers who access volunteer files in accordance with their role and responsibilities at CESO.
